Payment & Cancellation Policy

1. Costs
Sessions are charged at the agreed rate per session.
2. Payment
Sessions are invoiced by In Search of Me Ltd. Invoices are typically issued 7 days prior to each scheduled session, although sessions booked at shorter notice will be invoiced at the time of booking.
Payment must be made within 7 days of the invoice date or at least 48 hours before the scheduled session time, whichever is sooner.
Where a session is booked within 48 hours of the scheduled time, payment is required at the time of booking in order to secure the session.
Payment is made securely via Stripe using the “Pay Now” link on the invoice.
A session is only confirmed once payment has been received.
Until payment is made, the session is provisionally held and not guaranteed.
Where payment has not been received by the required deadline, the session will be released and the time may no longer be available.
Where sessions are arranged on a recurring basis, failure to secure a session through payment will result in that session being released and may affect the continuation of the agreed schedule.
If payment is made after a session has been released, the payment will be held on account and applied to a future session. A new session will need to be arranged based on availability.
3. Arranging Sessions
Initial contact usually begins with a free 15-minute consultation, which can be booked through the website.
Free 15-minute consultation calls must be booked at least 24 hours in advance.
If we decide to work together, therapy sessions are arranged directly with the practitioner rather than booked through the website.
Work typically begins with an initial session, followed by an agreed pattern of ongoing sessions where appropriate.
Sessions are normally scheduled at agreed times and on a recurring basis where appropriate.
Recurring sessions are not automatically guaranteed and remain subject to the payment terms outlined above.
Clients requesting ad hoc sessions may have more limited availability, particularly for high-demand times.
4. Cancellations
Cancellations must be made by email to info@drpip.co.uk at least 48 hours before the scheduled session time.
The time and date the email is received will be used to determine whether sufficient notice has been given.
Sessions cancelled with less than 48 hours’ notice are charged at the full session cost.
Missed sessions, including non-attendance, are charged at the full session cost.
This applies regardless of whether the session has been paid for in advance.
5. Private Health Insurance
Where sessions are funded through private health insurance, invoices are sent to the insurer in line with their requirements.
Clients are responsible for providing accurate and up-to-date insurance details, including membership and authorisation information where required.
Clients remain responsible for ensuring valid authorisation is in place and for understanding the limits of their policy.
Late cancellations and missed sessions are typically not covered by insurers. In these cases, the session fee is likely to be charged directly to the client.
6. Exceptional circumstances and discretion
Genuine emergencies and unforeseen circumstances are recognised.
Cancellation costs may be waived at the practitioner’s discretion in exceptional circumstances.
Any discretion exercised is applied on a case-by-case basis and is not guaranteed or an ongoing entitlement for future sessions.
7. Late arrival
If you arrive late to a session, the session will still end at the scheduled time. This ensures fairness to other clients and allows sessions to run as planned.
The full session cost remains payable.
8. Breaks and ending therapy
Clients are welcome to take breaks from therapy or to end therapy at any time.
Where a session has already been booked, the standard cancellation notice period still applies.
Where sessions have been arranged on a recurring basis, ongoing sessions may be released if they are no longer being attended or secured through payment.
Any alternative arrangements must be agreed in advance.
9. Changes to costs
Costs are reviewed periodically.
Any changes to costs will be communicated in advance.
Changes will not apply retrospectively to sessions already booked.
10. Practitioner cancellation
If a session needs to be cancelled by the practitioner due to illness or unforeseen circumstances, the session will be cancelled at the practitioner’s end.
For self-funded sessions, any prepayment will remain on the client’s account and can be carried forward to a future session.
For sessions funded through private health insurance, the appointment will not be charged.
If a future session is already booked, this will remain in place.
If not, contact will be made to arrange an alternative time.
11. Agreement to this policy
This policy forms part of the Therapy Agreement provided before the first appointment.
By confirming the Therapy Agreement and attending sessions, clients confirm that they have read, understood, and agreed to these terms.
